Hey Paul, If I have a small team and want to make sure everyone is staying on task, do you suggest that I set up each person as a "project"? We have 6 team members that primarily work on their own.
I don't normally recommend this. Instead, I feel it's usually best to identify the key areas of work that need to be managed and then adding tasks for each user within these areas or departments.
Not sure where to ask this, but I have a question about the language of a form. I made a form for a project and can't seem to change the language that is in the reply fields. More specifically, this is a form that needs to be accessible to people with whole or partial vision impairment (blind) and currently the screen readers are reading it out in english, when we need it in german. Is it possible to change the language in the fields themselves? Thank you so much! Tiamat
Brilliant video, thank you Paul. Two questions from me today:
Can I have fields and tags as triggers for rules? For example, can I have something being tagged as one thing be the trigger to have it moved somewhere?
Can you disable notifications generated by rules? Started creating rules and noticed that I receive notifications every time asana posts an automated comment.
Hi Paul! With regards to tags - my account (premium) already has 3 tags that exist as an option. I do not see where I can rename, create, or delete tags based on an Asana guide. I can manually type them in but cannot edit the prepopulated list. Is there a limitation to my account or something I am missing? Thanks!
Hi Amy, to edit or rename a tag, click on the actual tag from within a task to go to the tag page. You can then rename or change the colour of the tag from the dropdown menu at the top.
In looking at Forms - Is there a way to collectively review the responses over time? I am thinking of using a form as a report that would be sent in weekly, how would I look at the information as a month in review?
If you map your form questions to custom fields in your project, then you could generate reports on the Project Dashboard that summarise the data from the form e.g. how many people selected option A vs. B.
If I create a form in one project, can it be moved/duplicated in another project without having to be completely remade?
How do I export form data out of Asana? When I test my forms right now the data is submitted within a task and the fields are all available in the description field - but in some of the ways we want to use this feature, we would need to be able to send this form to several other places outside of our organization (maybe in the form of a PDF), is that possible?
I'm afraid not. They have to be set up in each project from scratch (bit of a pain, I know). Although, you could have one form in one project and then use a rule to move or multi-home the task to other projects to get around this.
Yes, so first thing you'll want to do is map the form questions to custom fields in the project. That way the data is a bit more organised rather than it all being in the description. From there, you can then expert the tasks from the project as a CSV via the project dropdown menu. All the task data and custom fields (which contain your form responses) will export to CSV.
For Asana fields, is there a way to auto-generate a project number for each entry? We're using a google form currently which doesn't really make sense as it means we need to manually add to Asana, but the team likes the google form as it auto-adds a project number to the task title (i.e. Proj. 123, 124 etc).
Do you know a way I could set this up in an Asana form?
You can't do this natively in Asana but you could use Zapier. e.g. When your Google Form is filled in, this could trigger Zapier to create a new project (using a template if you like) using a project number. Let me know is this is something you'd like to address on a call.
For adding sections within a Task (where your subtasks are located), you stated the only way to do so is to use 'Tab + N' however, I am a Mac user, therefore, may I please trouble you to advise what keyboard shortcut would be the equivalent?
It's the same on a Mac: Tab + N (I'm on a Mac as well). Make sure you first put your cursor in the subtask field as if you're about to type the name of your subtask, then initiate the shortcut.
One more question about tags. We have a mess of tags that were used prior and we would like to clean it up for consistency. How can we delete old tags used?
First you need to search for the old tag using the search at the top of the page. Once you're on the tag page, click the down arrow next to the tag name and you'll be able to delete it.
Is there a place to see all the tags in use? I can see where it would be easy to not have tags standardized.
If I search for a tag, will it bring up projects that are tagged by my colleagues? I am hoping to use the tagging feature to build an agenda for our meetings but will only work if I can see what others have tagged for the meeting and if we have a standard set of tags.
Hi Paul,
Great course so far!
How can I set up a rule for one specific task? For example, once task 'X' has been marked as complete, then a new task should go automatically in to effect. This new task should automatically be assigned to person #2, have a set due date, and comes with a comment.
Your above video explains how to set up certain triggers but it's not fully clear to me on how to bring this down to one specific task.
Hi Tom, so this kind of automation would need to be created via Zapier. Have you used this before? It's a bit more powerful as you can put in a filter to only run the actions on certain tasks with specific names.

Is the ability to add customizes fields limited to the tool Admin?
